Cookies

The website uses cookies, which are text files stored on your computer, mobile phone or similar device for the purpose of recognising it, remembering settings and producing statistics. Cookies cannot contain harmful code such as viruses.

The website also uses a limited number of necessary cookies that are essential for the site to function properly. These cookies do not require consent and are therefore set when you visit the website:

  • pll_language – set by our language management system (Polylang) to display content in the selected language.
  • mcforms-sessionId – set by our form system (Mailchimp/MC Forms) to ensure that forms function correctly and can store temporary input during a session.

These cookies are used solely for functionality and do not contain personal data for marketing, tracking, or analytics purposes.

We use Google Tag Manager and Google Search Console for technical operation and performance analytics, Matomo Analytics for statistical purposes (with IP anonymisation), and Mailchimp, which only sets cookies when you interact with our signup forms or newsletters.

The website also uses services from LinkedIn and YouTube (Google), which may place cookies in connection with embedded content, analytics and advertising. These cookies are only set if you have consented to non-essential cookies.

If you delete or block cookies, parts of the website may not function properly, and you may experience content you cannot access. You can withdraw your consent at any time by deleting your cookies in your browser or via the cookie banner.

Personal data

Personal data is any information that can be attributed to you. When you use our website, we collect and process several types of information. This occurs, for example, when you access content, sign up for newsletters, participate in events or surveys, register as a user, or use other services.

We typically collect a unique ID, technical device information, your IP address, geographic location and the pages you visit. When you enter information yourself and give consent, we also process your name, phone number and e-mail – typically for event registrations or newsletter signups.

Processing in network activities and projects

Clean is a non-profit network organisation, and we maintain contact data for individuals who participate in our activities so we can contact relevant persons about network activities, collaborations and projects.

In donor-funded projects, Clean may be required to document activities and costs. Therefore, we may process timesheets, payslips, employment contracts and expense documentation from Clean and our project partners. This processing is solely for project administration and mandatory reporting.

Legal basis

Processing is carried out on the following legal bases: consent (e.g. newsletters and non-essential cookies), legitimate interest (statistics, network activities, website improvement), contractual necessity (e.g. event registrations) and legal obligation (project documentation for donors).

Security

We use encrypted and secure IT systems to store contact and personal data. Access is password-protected and limited to relevant staff. We use 2-factor authentication across all our systems.

  • Box.com

Disclosure of data

Clean does not disclose personal data such as name and e-mail to third parties without consent. Website usage data may be processed by our data processors.

We use the following processors:

  • Google Ireland Ltd. (Tag Manager, Search Console, YouTube/Google services)
  • InnoCraft Ltd. / Matomo (statistics)
  • Intuit Inc. / Mailchimp (newsletters)
  • Microsoft / LinkedIn (analytics and marketing services)
  • Citrix (Podio)
  • Box Inc. (Box.com)

Where data is transferred to donors, authorities or auditors, this is done via encrypted connections and only as required by relevant funding schemes.

Only processors in the EU or in countries providing adequate data protection are used. Where required, EU Standard Contractual Clauses (SCC) are applied.

Storage period

Matomo statistics are stored for up to 26 months. Newsletter data is stored as long as you remain subscribed. Event data is generally stored for 3 years. Project-related data is stored according to donor requirements (typically 3–5 years).

Access and complaints

You have the right to request access to the personal data we process about you. You may object to processing, have data corrected or deleted, or withdraw your consent at any time.
